Gillespie Recruitment are currently recruiting for an Office Administrator on behalf of a well-established and dynamic business centre.

This is an excellent opportunity for someone who thrives in a fast-paced, client-facing environment and enjoys a varied role that combines administration, customer service, and event coordination.


The Role

As an Office Administrator, you’ll play a key role in ensuring the smooth day-to-day running of the site. This will involve a mix of reception duties, event coordination, operational support, and facilities oversight.

Key responsibilities include:

  • Acting as the first point of contact for visitors and clients, delivering exceptional customer service
  • Managing room bookings, meetings, and events (internal and external)
  • Supporting the planning and promotion of events alongside marketing and social media teams
  • Coordinating room setup and clear-down
  • Managing client enquiries and maintaining accurate CRM records
  • Assisting with building maintenance, liaising with contractors, and coordinating approved works
  • Supporting invoicing, payments, and arrears tracking
  • Providing general administrative and operational support
  • Supporting Health & Safety processes, reporting, and building compliance
  • Attending external networking events as a representative of the organisation

About You

The ideal candidate will:

  • Be highly organised with strong multi-tasking skills
  • Have excellent communication skills (written and verbal)
  • Demonstrate a proactive and flexible approach
  • Be confident using Microsoft Office and CRM systems
  • Have a basic understanding of IT/telecoms setup (desirable)
  • Deliver outstanding customer service, engaging confidently with stakeholders at all levels
  • Be willing to participate in an on-call rota
  • Be adaptable and able to provide cover across the team when needed
