Finance & Administration Coordinator
Role Purpose
● The Finance & Administration Coordinator is responsible for supporting the efficient
day-to-day operation of the finance function through accurate financial processing,
structured reporting support, financial administration, and operational coordination.
● The role is designed to provide a strong operational backbone to the finance department,
ensuring core finance activities are delivered accurately, consistently, and on time, while also
supporting broader business administration and governance activities.
● The position plays a key role in improving reporting quality, financial controls, data accuracy,
and organisational efficiency, enabling the Head of Finance to focus on higher-value
commercial, strategic and leadershipactivities.
● The role also supports the coordination of operational finance reporting, governance
tracking, KPI administration, and business reporting processes to help ensure reporting
accuracy, accountability, and operational consistency across the finance function.
Core Responsibilities
● Process accounts payable and supplier invoices accurately and on time.
● Raise customer invoices and support accounts receivable processes.
● Support payroll preparation, pensions, and benefits administration including annual returns.
● Prepare month-end schedules, reconciliations, and reporting support.
● Prepare variance analysis across costs and departmental spend.
● Support operational reporting activities including margin reporting preparation, KPI tracking,
and departmental performance reporting.
● Support VAT submissions, audits, and regulatory reporting.
● Prepare draft annual accounts for review to the Head of Finance.
● Maintain accurate financial records and governance documentation.
● Maintain finance trackers, reporting schedules, governance logs, and follow up actions to
support accountability and timely completion of finance activities.
● Coordinate finance related operational administration including travel, conferences, supplier
coordination, and leadership support activities.
● Support project financial tracking and operational reporting.
● Assist with regular business policy and compliance reviews and implementation of any
required changes.
● Identify opportunities to improve finance processes, reporting consistency, administrative
efficiency, and data quality through various means and including the use of AI & Automation.

Skills & Experience
● Previous experience in a finance or finance administration role.
● Strong Excel and data handling capability.
● High attention to detail and organisational skills.
● Ability to manage multiple priorities and deadlines.
● Comfortable managing recurring reporting cycles, governance trackers, and cross functional
coordination activities.
● Strong communication and coordination capability.
● AAT qualification or study towards finance qualification (e.g. CIMA, ACCA) desirable.
